List of Volunteer Activities

Thank you for reviewing this list of volunteer activities. Your contribution of volunteer time, energy and skills are essential to the success of our choir. Most volunteer activities listed below have a Coordinator. Additional assistance is often needed so just because there is a name already there doesn’t mean they do the whole job.  Sign up where you feel your talents and abilities are best used. If you have a skill but don’t know where it fits, please add it to the commitment list that is attached and hand it in to the Volunteer Coordinator.

As becomes necessary during the course of the season, additional opportunities for volunteering may be announced that are not indicated here. For more information, please contact:

Sue Kohler, Volunteer Coordinator

Administration

Occasional Office Assistance
The GPC choir office is a busy place.  Amy Dale, our administrator, gives administrative support to the family of choirs and its board.

•    Skills needed—good communicator, computer literacy and ability to use the internet and Microsoft Office, proofreading skills, willingness to learn; access to a computer (if you wish to work away from the office)
•    Time commitment—1 hour per week, some project work requiring blocks of time or as your schedule permits

The Choir list/membership database
An up-to-date choir membership database is an essential working resource for our choir.
•    Skills needed - A computer and data base management skills are required.
•    Time commitment - 1 to 2 hours per month

Customer care
Provide on-going assistance to the family of choirs during subscription and ticket drives, to communicate with donors/patrons, assist with public relations, and develop planning for timely and consistent community contact.  These duties overlap with Marketing/Promotions.
•    Skills needed - comfort talking on the phone with patrons with a provided script
•    Time commitment - Customer care is project oriented and would typically require a block of time with a specific start and end deadline.

Parking liaison/parking passes
Coordinators ~ Marnie Van Weelden (Bethany), Ingrid Armbruster (CITS), Barry Daniels (Bethany parking passes)
Our parking liaisons ensure timely communication with Bethany Missionary Church and the CITS during the course of our regular rehearsal schedule and especially during concert weeks.

Choir Committee Chairperson - Merle Fast
The Choir Committee, established by the Board of Directors, is a sub-committee which assists in the successful operation of the Adult and Chamber choirs.  A minimum of seven members of the Adult/Chamber choirs participate on an annual basis with the expectation that they will serve for 2 to 3 years.

•    Time commitment - 4 to 7 hours per month, September – June, including one monthly late afternoon meeting.

•    Skills needed - organization, computer literacy, attention to detail
•    Time commitment - library work is project oriented rather than ongoing and would typically require a block of time to be determined by the librarian to suit your schedule.

Archivist - Coordinator, Liska Jetchick
The GPC archivist has two main roles.  First, s/he is responsible for collecting and organizing all materials relevant to the present and past life of the GPC, and for coordinating the regular donation of these items with the Kitchener Public Library (where the remaining archives are housed).  Secondly, s/he maintains several databases of information relevant to the archives.  A great opportunity for organizationally minded people who are interested in the preservation of the unique history of our family of choirs.
•    Skills Needed - organized, attention to detail, computer literacy
•    Time Commitment - project oriented as the archives needs to be updated at least 2 times per year winter and summer or as schedules permit

Overall, the choir needs more volunteers in fund-raising. If you're good at even one of these, or would like to try, please let us know.
•    Skills needed: administrative/organizational skills, good people skills, passion for promoting the choir.
•    Time commitment: Flexible.

A portion of each sale comes back to the choir. This has the potential to bring in lots of dollars if we all purchase.

Production

Marketing and Promotions
These volunteers work closely with the Marketing Committee of the Board on web design, internet communications (Facebook, blogs, twitter, etc), poster distribution

Choir ambassadors
The ambassador is the “face” of the choir for sponsors, donors, artists and special guests before and after concerts. This may involve transportation, ensuring artists have bottled water in their dressing rooms, arranging for flowers at the end of the concert, chatting with donors and sponsors at receptions and making them feel appreciated, seeing that donors, artists and others associated with the concert meet one another after the concert.
•    Skills needed - good people skills, passion for promoting the choir

•    Time commitment - 2+ hours per concert depending on need

Choir Marshall Choir Marshall - Merle Fast
In collaboration with the Artistic Director, the Choir Marshall organizes the Choir at all concerts so that a professional demeanor is presented to the audience.
•    Skills needed - Patience, organizational skills, spatial skills and an authoritative voice
•    Time commitment - 1 hour per concert.

Concert Dress Coordinator - JoAnn Hall
When a new soprano or alto joins the Choir, she is required to purchase the prescribed concert outfit.  The coordinator provides all necessary purchasing information, as well as ensuring gowns are the required length, appropriate jewelry is being worn, etc.

Rehearsal Chairs Coordinators - Matt Fuertges, Morgan Hultquist, Kevin Huinink, Steve Horst
At our regular Monday rehearsals, chairs must be set up (an exact and demanding science) and then put away at the rehearsal’s end.  This is a time-limited, yet very important job, with the added benefit that there are absolutely no meetings involved! Chamber Choir members set up chairs for all regular rehearsals.

Unit Leaders, Assistants & Unit Leader Coordinator Coordinator - Nathalie Nasr
Each member of the choir has a unit leader whose task is to maintain close contact with those members on their list.  Unit leaders monitor attendance and contact absent singers, keeping them informed about what happened at the missed rehearsal, etc.; they also assist new members to integrate into the choir.  New music scores are distributed through unit leaders. The unit leader coordinator meets with unit leaders each week, keeping close track of attendance and reports to the Artistic Director. The coordinator also organizes individual auditions as needed.

Ushers/greeters
Family of Choirs concerts (approximately nine concerts) not held at CITS will require the assistance of ushers and greeters.  Enjoy a variety of concert experiences by the Children, Youth, and Chamber choirs.

Box office help
Volunteers will be needed to help with activities related to the Box Office.  Timely and ongoing communication by volunteers with our database of subscribers and single ticket purchasers will require the assistance of those with good communication skills, an interest in marketing and public relations, and a passion for promoting the GPC to the community

Production labour ROADIES
From time to time, our family of choirs performs at non-CITS venues. We need volunteers to undertake the task of setting-up and taking-down risers or transporting special equipment, i.e. moving a musical instrument.
•    Skills needed: muscles, flexible schedule, own a truck or van
•    Time Commitment: as needed

Social activities

Choir membership care Coordinator - Lynda McDowell

Recognizing special events involving choir members (through sending cards, etc.) helps to build a sense of caring and community within our choir.

Community outreach activities

•    Special requests for musicians
•    Christmas with the Grand Philharmonic Choir
•    Caroling at City Hall and at Nursing homes

Special Events Planning
We also have social events (retirements, potlucks, open houses, tributes etc.) Each event requires a group of people who will plan and execute the events.

Post-Concert Reception Coordinator - Linda Blake
A great choir tradition!  Following each concert, choir members provide a reception for all the musicians, subscribers and other special guests.  The reception coordinator facilitates this activity.
•    Skill needed - organizational skills, the gift of hospitality
•    Time commitment - 5 hours per concert.

Rehearsal Refreshments Coordinators - Jenn Galloway, Ingrid Armbruster, Angus Sheach
During concert week, when we enjoy union-length rehearsal breaks at Centre in the Square, we offer light refreshments for all the musicians.  Volunteers purchase (not at your expense!!) cookies, juice, coffee, etc. and set up refreshments on rehearsal night – much appreciated during concert week.
•    Time commitment - 2 to 3 hours per concert.

Volunteer Coordinator Coordinator - Sue Kohler
The volunteer coordinator’s job is to manage and support the volunteer activity of the adult choir and those recruited to become ‘Friends of the Phil’.  A developing role will be for the coordinator will be to ensure recognition of volunteers.
